Responsibilities

  • Answer phones
  • Perform daily office tasks such as filing, maintaining records, copying and scanning
  • Maintain filing system, including updating all job number lists and archived items
  • Computer proficiency
  • Edit protocols and reports via Word
  • Update Access Data base with project information
  • Create and maintain Excel spreadsheets
  • Assist all staff with tasks and assignments as needed
  • Maintain neat and clean office environment
  • Monitor supplies, placing orders when necessary
  • Process shipments using UPS or FedEx
  • Protect confidentiality of all sensitive information or situations
  • Perform other duties and projects as assigned

QA Tasks

  • Produces proposals, reports and letters by formatting, editing, retrieving, copying and transmitting text, data and graphics
  • Organizes work by reading and routing correspondence
  • Completes requests by greeting customers, answering or referring inquiries
  • Maintains customer confidence and protects operations by keeping information confidential
  • Keeps printing equipment operational by following manufacturer instructions and established procedures
  • Maintains company database
  • Utilize filing and retrieval systems
  • Contribute to team effort by accomplishing related results as needed

Qualifications

 

  • Must be detail oriented, resourceful, creative and flexible
  • Possess effective communication skills
  • Ability to adapt to changing needs while responding quickly and positively
  • Proficient with MS Office Products: Word, Excel, Access, and Outlook. Knowledge of MS Publisher, PowerPoint, PDF Software Package
  • Must be able to operate standard office equipment (i.e. copier, scanner, fax machine)
  • Minimum of 2 years administrative and/or office related experience preferred
