    AR Duties

    • Prepare and record invoices in the company’s accounting software;
    • Assist with the preparation and uploading of invoices to client portals;
    • Coordinate with project managers that invoices are reviewed and approved;
    • Follow up with clients to ensure timely payments & collections;
    • Review requests for payment to ensure all required supporting documentation is provided
    • Communicate with vendors and others to resolve problems and gather missing documentation so items can be approved and processed for payment on a timely basis.
    • Maintain organized files and provide material as needed for annual audit support.
    • Maintain related records and control reports; follow defined schedules for periodic storage and purging of files.
    • Assist with submittal of invoices and statements by US Mail or email;
    • Account reconciliation on Accounts Receivable
    • Familiarity with Generally Accepted Accounting Principles
    • Recommends actions to resolve discrepancies
    • Investigates questionable data
    • Other duties as assigned
    • Intermediate competency with Excel – includes creating reports with formulas and some use of higher level functions



    Qualifications and Education

    • Excellent verbal and written communication skills
    • Must have the ability to maintain the highest level of confidentiality
    • Strong attention to details, highly organized and a sense of urgency skills.
    • Ability to handle multiple tasks within multiple deadlines.
    • Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook)
    • Knowledge of financial software systems is required – QuickBooks and NetSuite
    • Must have a minimum of 2-3 years of accounting experience
    • Have strong understanding of accounts payable and accounts receivable routines.
